Disable Outlook Web App (OWA) Offline Cache Mode – Office 365 (Exchange Online)
By default Office 365 (Exchange Online) allows users to enable an offline cache of all their email when using OWA. As you can imagine this doesn’t fit all corporate security models because OWA can be accessed anywhere and then the email can be cached on any computer. This post will cover how to edit the default Outlook Web App policy so that you can disable this feature.
For more about the user side of the experience and how to turn on/off at that level, please reference the Microsoft KB below.
Disable Outlook Web App (OWA) Offline Cache Mode at the organizational level
Login to the Office Admin Center
On the left navigation menu, click Admin Centers
Click Exchange
In the Exchange Admin Center, click Permissions on the left navigation menu
Click Outlook Web App policies
Double click OwaMailboxPolicy-Default policy
- If you have more than one policy, you may have to edit all the policies. Chances are that if you have more than one policy you also know what all those policies are for and will edit accordingly.
On the Outlook Web App policies window, click Offline Access
Check Never
Click Save

Now when we try to enable offline access for OWA under the user account, the user is blocked from doing so.

Disable LinkedIn Contact Sync in Office 365 (Exchange Online)
Office 365 gives users the ability to synchronize their LinkedIn contacts to Office 365. Those contacts are listed as contacts in People in Office 365. Many security conscious organizations want to prevent data leakage and the accidental forwarding of emails outside the organization. The though is that if these contacts are not synchronized, then the chances of accidental forwarding will not happen. I will leave it up to you to decide, but I have had partners ask for this to be disabled.
To learn more about this feature, visit the site below.
Disable LinkedIn Contact Sync in Office 365 (Exchange Online)
Login to the Office Admin Center
On the left navigation menu, click Admin Centers
Click Exchange
In the Exchange Admin Center, click Permissions on the left navigation menu
Click Outlook Web App policies
Double click OwaMailboxPolicy-Default policy
- If you have more than one policy, you may have to edit all the policies. Chances are that if you have more than one policy you also know what all those policies are for and will edit accordingly.
On the Outlook Web App policies window, click Features
Uncheck LinkedIn Contact Sync
Click Save

The user experience now changes and the option to connect to social networks is now removed.

Managing Office 365 Release Preferences
Office 365 provides the ability to have your tenant or users in your tenant be bumped up the line for new feature releases. Think of this as dropping a rock in water and watching the wave rings move outward. The closer you are to the center, you can get the new features first. Microsoft has this concept of Standard Release and First Release. In Standard Release, you get all the new features at a slower pace. In First Release, you get all the new features before Standard Release. If you opt in for First release, you can have your whole tenant (all users) get the newest updates or you can select users in your tenant. A good use case for the complete tenement being on First Release would be your lab environment. You want to see all the newest updates/features roll out here first, so that you can test how they function and the impacts on your user base. A good use case for select users being on First Release, would be a group of power users or pilot users in your production tenant. This gives the ability to see the new updates/features to a group of friendly users before they hit the rest of the production users.
For more information on Office 365 Release Preferences, see the KB below.
Office 365 Release Preferences
In this example, I will show how to enable first release for select users in a tenant. First release for everyone, is pretty much self-explanatory.
Login to the Office Admin Center
On the left navigation menu, click Settings
Click Organizational Profile
Click Edit on Release Preferences
In the flyout, select First release for selected users
Click Next

Click Yes when asked ‘Are you sure you want to change to first release for select people?’

Click Add People

Select the users
Click Save

Click Close

A list of users under First Release will now be displayed
Click Close
You can add/remove users by coming back into this menu and clicking +Add Users or –Remove Users

User Level Calendar Publishing Office 365 (Exchange Online)
How many times have you received a meeting request, from someone outside your organization and it’s during a time where you are already booked. Then you play the back and forth game trying to find a time. Did you know that Office 365 allows you to publish your calendar so that external users can view it? The setting is contained in OWA (Outlook Web App), but you can link to it from Outlook
Open this link OWA Calendar Publishing or click below through Outlook
Open Outlook
Click on your Calendar
Click Publish Online
Click Publish this calendar

The Debate Over Enabling New Office 365 Features by Default
The recently announced Office 365 feature that will automatically create Groups based on manager/reports relationships in Active Directory reignited the debate about new features being enabled by default. The discussion in the Microsoft Tech Community was robust, and outlined many flaws in the proposed feature. But regardless of the merits of that particular feature, the discussion brought up the point that defaulting new features to “enabled” (or opt-out) is the wrong approach for many customers.
The issue is a big enough concern that a Uservoice item has been opened to collect votes from the community.
Tenant administrators should have the ability to specify whether or not new features such as Teams, Sway, etc. are enabled by default within their tenants. Just like there’s the ability to set a tenant to receive First Release, Admins should be able to specify how changes are introduced to their environment. It’s great that there are PowerShell commands to turn features on/off but it would be much easier to either set these new features to be off by default, or enable Admins to enable when organizations are ready to absorb those changes. Functionality like Teams is absolutely fantastic, but without the right change management planning it becomes confusing for users. For Tenant Admins that either ignore announcements of new features, or are unavailable to turn them off when they become available – this is an appropriate solution to enable organizations to effectively manage how they are consuming Office 365.
As I wrote in my article on managing change in Office 365, changes can create a burden for support staff, especially front line staff who will be hit with a wave of new questions when something changes. For organizations that have strict controls around change management, being able to control the deployment of new features is essential. I’ve heard from customers who use the ITIL framework, and they say that Office 365 has increased their costs because every single change needs to be managed in that framework. For them, being able to disable new features like Teams, or Focused Inbox, or Groups is essential. And while most new features can be disabled on a per-tenant or per-user basis so that the roll out can be managed through their change control processes, others such as the change in email sending behavior for Groups have no opt-out mechanism and are basically enforced on all customers. The ITIL organization has no choice but to adapt to those enforced changes.
The burden on IT departments is one side of the issue. There is also the impact that adding more complexity and variance to Office 365 will create. Taking the example of the email sending behavior for Groups, if that was presented as an option, that means more code is required to deal with Groups that have the option set one way or the other. The more code and complexity involved, the more development, testing and support costs are incurred, and the more risks there are of bugs surfacing. A service as large and complex as Office 365 is only possible when things are consistent and predictable across the entire environment.
We also need to consider whether innovation in Office 365 would slow down if adoption rates plummeted due to features being disabled by default. It should come as no surprise that one of the reasons new features are enabled by default is so that they are adopted faster by customers. For customers with minimal IT support, being able to use Teams, or StaffHub, or Bookings without needing an IT person to switch it on for you first is a positive thing. If features were always opt-in, those customers would simply miss out. And it’s entirely feasible that some IT consultants doing one-off projects to migrate customers to Office 365 would flip the switch to disable new features, with the justification that it’s for the good of the customer, and then walk away. I have no special knowledge of Microsoft’s internal decision making process around development of new features, but I assume that it would be difficult to justify investment in features if adoption is going to be limited.
This is an issue with no clear answer. If the option to disable all new features by default were made available, where do you draw the line on what constitutes a feature vs a change? If you call Teams a feature, and the Groups sending behavior a change, customers will still be caught out by unexpected changes if they’re not paying attention. That brings us back to what is perhaps the core of the issue – tenant admins who “either ignore announcements of new features, or are unavailable to turn them off when they become available.” Should we be advocating a change that caters to admins who are ignoring announcements? Or should the onus be on them to get with the program and deal with the reality of cloud services?
Clearly some folks are unhappy with the current situation, hence the Uservoice suggestion above. What do you think? Should there be an option to opt-out of all new features by default? Would you use that option for your own Office 365 deployments?

Restoring Deleted Office 365 Groups
Microsoft is rolling out the long-awaited capability to restore a deleted Office 365 Group. When Groups are deleted they are now retained for 30 days by default in a “soft deleted” state, and administrators can restore the group within that period if desired. All of Group data including associated applications such as Teams and Planner is included in this restore capability, but as I discovered in my testing, Teams still has a few issues that need working out.
To give this new capability a test I created three new Groups using Outlook, Teams, and Planner (actually four, because of an error in Planner). The new Groups appeared in my Office 365 Groups report output as new Groups.

Next, I deleted each Group through the same application that was used to create it. Another run of the report script shows the Groups as deleted.

To view a list of soft deleted Groups we can use the Get-AzureADMSDeletedGroup cmdlet in PowerShell. This cmdlet is available today in the AzureADPreview PowerShell module, and we can expect it to be added to the AzureAD module in the near future.
PS C:\> Get-AzureADMSDeletedGroup Id DisplayName Description -- ----------- ----------- 7c3d972b-0e25-49ab-baaa-4dcb3a0c39dc GRP-CreatedViaPlanner GRP-CreatedViaPlanner d1ddaca7-22e6-4267-9795-d208592f2ef1 GRP-CreatedViaOutlook GRP-CreatedViaOutlook fcb8e99e-ca17-441f-8ba0-66bb8c435b12 GRP-CreatedViaTeams GRP-CreatedViaTeams
Once you know the Id of the Group you want to restore, the Restore-AzureADMSDeletedDirectoryObject cmdlet is used to restore it.
PS C:\> Restore-AzureADMSDeletedDirectoryObject -Id d1ddaca7-22e6-4267-9795-d208592f2ef1 Id DisplayName Description -- ----------- ----------- d1ddaca7-22e6-4267-9795-d208592f2ef1 GRP-CreatedViaOutlook GRP-CreatedViaOutlook
Microsoft warns that this process should take only a few minutes, but can take up to 24 hours in some cases. When the restore is complete, the Group will be available using Get-AzureADMSGroup.
PS C:\> Get-AzureADMSGroup -Id d1ddaca7-22e6-4267-9795-d208592f2ef1 Id DisplayName Description -- ----------- ----------- d1ddaca7-22e6-4267-9795-d208592f2ef1 GRP-CreatedViaOutlook GRP-CreatedViaOutlook
The restored Group now appears as a new Group in my report.

One thing I noticed in my testing is that the Group members are restored along with the Group, except for the Group admin. In my case, all three Groups that I deleted using Jane Tulley’s account, did not restore her membership of those Groups. For the Outlook and Planner-created Groups, Jane was able to simply rejoin them, because they were public Groups (which is the default).
For the Teams-created Group, the Group type defaulted to private. When Jane attempts to rejoin, an approval request is sent to the Group admin, which is herself in this case. Clicking the link to “go to Group members” and add herself didn’t work.

The dialog for adding members shows that she is the admin, but won’t let her add herself as a member.

If she uses the Approve button in the email instead, then her membership is approved successfully.

However, although the rejoined Group appears in Jane’s Outlook, it does not appear in her Teams desktop client or web client. As a private Group, the Team also can’t be seen in the list of available public teams to join. However, after changing the Group from private to public, and then waiting a short time, the Team appeared as a public Team for other users who were not already members, but not for Jane Tulley who is a member and admin for the Group. Presumably the Team doesn’t appear in the list of Teams to join for Jane because she’s already a member. Eventually, a few hours later, the Team appeared in Jane’s Teams client.
This seems to be a wider issue with Teams when Groups are restored. I ran the test again, this time with a public Team that had multiple members. Again, the restored Team did not appear in any Teams desktop or web clients until the member was removed from the Group, then they could see the Team in the list. However, attempting to join a restored Team fails.

I ran through a variety of test scenarios, creating and deleting Teams. As a side note, here’s a simple one-liner for restoring all soft deleted Groups.
PS C:\> Get-AzureADMSDeletedGroup | foreach {Restore-AzureADMSDeletedDirectoryObject -Id $_.Id}In some cases, public Teams that had been restored appeared almost immediately for other users to join, however could be joined by new members. The same error shown above was occurring.

After a few hours of testing, eventually all of the restored Teams were able to be accessed again, and the public Teams could be joined by new members. This may have all been just a symptom of the delays during restoration that Microsoft indicated could take up to 24 hours.
It’s good to see recovery of Office 365 Groups is now available, but it looks like there’s still a few wrinkles to iron out for Teams to smooth out the user experience.

Microsoft Edge is faster and safer with better browsing and entertainment

Set your tabs aside for easy access; Microsoft Edge is the default reader for books in Windows Store.
Because so much time is spent online, we’ve designed Microsoft Edge to be the best browser for Windows 10. People are choosing Microsoft Edge because it is safer and faster than Chrome, with better battery life. With all the dangerous security threats online today, Microsoft Edge blocks 9% more phishing sites and 13% more malware than Chrome* – helping protect your identity and information; speed matters on the Web and according to Google’s own benchmarks, Microsoft Edge is faster than Chrome**. Finally, Microsoft Edge makes your battery last longer so you can stream up to 1.5 hours of video longer than Chrome***.
But that’s not all. With the Creators Update, we’ve added new features like advanced tab management to help you find, organize and open tabs you’ve set aside without leaving the page you’re on. You can now discover and get your favorite e-books in Windows Store and read them in Microsoft Edge across all of your Windows 10 devices. And, it is the only browser that can play Netflix movies and TV shows in 4K Ultra HD resolution ****.
From sleeping better to easily managing your children’s screen time
Sometimes it’s the little things that delight the most. And with the Windows 10 Creators Update, there are many delightful updates and features based on your feedback.
By reducing the blue light emitted by your screen, the night light feature helps you sleep better. With night light, when you’re working late your brain is more ready to power down for a good night’s sleep. Smartphone users love this feature and now, it’s coming to Windows 10 with the Creators Update.
The mini view feature lets you keep an ever-present small window on top of what you’re doing. This means you can do things like binge-watch your favorite show, carry on a Skype conversation or control your music, regardless of what else you’re working on.
With the Windows 10 Creators Update, parents familiar with screen time limits for Windows 10 will now find a similar set of controls for Xbox One. With screen time limits parents can manage how much time their children play games across the console and PC, giving you an extra hand, say, when your younger family member has played enough Forza Horizon 3 for the day. With screen time limits, parents can set a daily time allowance for each child and your Xbox One or Windows 10 PC will automatically sign them out when time is up. For Windows 10, you can even get a report telling you what your child played each week. To set up screen time limits, head over to account.microsoft.com/family, sign in with your parent account, and select “Screen time” for your child’s account.
Windows Hello can use any paired iPhone, Android or Windows Phone to detect when you step away from your PC or tablet, automatically locking it behind you for an extra measure of security and privacy. This remote lock feature works with smartphones, fitness bands or any device that’s paired to your PC or tablet.
Additional security and privacy protection

The new Windows Defender Security Center dashboard coming with the Windows 10 Creators Update gives you visibility of your device security, health, and online safety.
Customers like MARS, Adventist Health Systems, and the Australian Department of Human Services are choosing Windows 10 because it is the most secure enterprise platform. Businesses and people at home need advanced protection because security experts are seeing increased efforts to make common malware and ransomware more prevalent and difficult to track and defend against, putting everyone at greater risk. With Windows 10, we’ve built the most robust security protection into Windows to protect you from these threats whether you are visiting a website, sending an email or storing files in the cloud.
With the Creators Update, we offer a new service to help you monitor your security, the Windows Defender Security Center. It offers a single dashboard display so you can control your security options from one place – everything from anti-virus, network and firewall protection; to assessing your device performance and health; to security controls for your apps and browser; to family safety options. And there’s more: The Device Health Advisor gives you information on the vital signs of your device, and new settings give you more control over app installation. For our business customers, the Creators Update will continue to bring new tools and capabilities that help simplify IT – making it easier to better deploy, manage and support Windows 10 devices – and to help stomp security threats.
Your privacy deeply matters to us and to you, and the Creators Update makes it easier than ever to manage your privacy with Windows 10 and other Microsoft services with a new set up experience that lets you choose the settings that are right for you. A new Microsoft privacy dashboard lets you see and manage your activity data across multiple Microsoft services.
The Creators Update will start to roll out via Windows Update on April 11. We will be rolling it out in a measured way to ensure the best possible customer experience.

Preserve Mailbox Data without a License in Office 365 (Exchange Online)
Most companies now want to preserve all the data from an former employee, due to company standards or are required to hold the data for legal requirements. Office 365 provides a way to do this and not have to pay for the license. The simple process is that you want to place a hold on the mailbox (In-Place Hold or Litigation Hold) and then remove the license from the user. After that the mailbox data will be preserved.
I will cover the basic process below, if you need more details you can reference the Microsoft KB below.
https://technet.microsoft.com/en-us/library/dn144876(v=exchg.150).aspx
IMPORTANT – Make sure the mailbox hold is applied before you remove the license.
Connect to Exchange Online with PowerShell
Set Litigation Hold on the mailbox
- Set-Mailbox <User or Email Address> -LitigationHoldEnabled $true
Verify litigation hold on the mailbox
- Get-Mailbox <User or Email Address> | Format-List Name,LitigationHold*
Remove the Office 365 User Account
Depending on how your users are setup in Office 365, will dictate on how the accounts will be deleted. If you have cloud based accounts then you can simply select the user in Office 365 and remove the account. If you are using synchronized accounts from your local AD, then you will need to remove the account from local AD and then let the changes synchronize to Azure AD.
Recover an Inactive Mailbox in Office 365 (Exchange Online)
In order to recover an inactive mailbox in Office 365 (Exchange Online), you must search for the mailbox, get the Exchange GUID and then recover it to a new mailbox.
I will cover the basic process below, if you need more details, reference the Microsoft KB below.
https://technet.microsoft.com/en-us/library/dn894100(v=exchg.150).aspx
Connect to Exchange Online with PowerShell
List inactive mailboxes with Exchange GUID
- Get-Mailbox -InactiveMailboxOnly | Format-List Name,DistinguishedName,ExchangeGuid,PrimarySmtpAddress
Create InactiveMailbox variable
- $InactiveMailbox = Get-Mailbox -InactiveMailboxOnly -Identity <identity of inactive mailbox>
- Use the ExchangeGUID from the previous step as the indentity
Recover inactive mailbox to a new mailbox
- New-Mailbox -InactiveMailbox $InactiveMailbox.DistinguishedName -Name johndoe -FirstName John -LastName Doe -DisplayName “John Doe” -MicrosoftOnlineServicesID john.doe@office365supportlab.com -Password (ConvertTo-SecureString -String ‘P@ssw0rd’ -AsPlainText -Force) -ResetPasswordOnNextLogon $true
- The command above will create a new user and mailbox for John Doe and recover the inactive mailbox set in the variable above
- The MicrosoftOnlineServicesID must match the PrimarySMTPAddress returned from the first step
Configure the new user
- Make sure you assign a license to the newly created user
- If you are using AD Connect, make sure that the user on-premise shares the same anchor value as the synchronized user for soft matching to work correctly
Changing the Default Password Policy in Office 365
By default user will be required to change their passwords every 90 days and will be prompted 14 days before that. This default value can be changed at the tenant level for all users.

SharePoint Search Query Tool v2.6
It’s been a year and figured I’d put out a small fix release.
The tool should now work properly with ADFS, UAG and TMG. We’ve also fixed the issue with multiple SPO tenants, where the application now prompts you each time without any cookie crumbs sticking around. You can even switch tenants without closing the tool.
As for new features I added a “Copy to clipboard” button which copies the raw JSON/XML of the result to the clipboard. Works a lot better than selecting from the raw tab.
Enjoy!

Sent Items behavior control comes to Exchange Online user mailboxes
It has been a while since we blogged about the ability to control the behavior of Sent Items for shared mailboxes when users either send as or on behalf of shared mailboxes. Today, we are glad to share with you that this feature is currently rolling out for User mailboxes also! What does that mean in real life?
Let’s say you have the following scenario:
- Mary is a delegator/manager on the team
- Rob is a delegate on Mary’s mailbox; Rob has Send As or Send on behalf of rights on Mary’s mailbox.
- When Rob sends an email as Mary, the email will be only in Rob’s Sent Items folder
With this feature enabled on Mary’s mailbox, Exchange will copy the message that Rob sends as Mary to the Sent Items folder in Mary’s mailbox. In other words, both Rob and Mary will have the message in their Sent Items folders.
We have heard this request more than once, and now we are rolling it out to an Exchange Online mailbox near you! The configuration and behavior of the feature is the same as for the shared mailbox.
Note: If the user has used the Outlook 2013 feature to change the folder that Sent Items are saved to, the messages will be copied to that folder instead of the user’s Sent Items folder. Users can reconfigure this by clicking the Save Sent Items To button on the Email Options tab.
Enable message copySent On Behalf of the delegatorFor emails Sent On Behalf of the delegator:
Set-Mailbox <delegator mailbox name> –MessageCopyForSendOnBehalfEnabled $true
Disable message copySent On Behalf of the delegatorFor emails Sent On Behalf of the delegator:
Set-Mailbox <delegator mailbox name> –MessageCopyForSendOnBehalfEnabled $false
| To… | For messages… | Use this command… |
|---|---|---|
| Enable message copy | Sent As the delegator |
Set-Mailbox <delegator mailbox name> –MessageCopyForSentAsEnabled $true |
| Disable message copy | Sent As the delegator |
Set-Mailbox <delegator mailbox name> –MessageCopyForSentAsEnabled $false |
Note, you can use the Office 365 Portal to configure this for shared mailboxes, but to configure user mailboxes, you’ll need to use PowerShell (the team would like to hear if you feel it should be in the Portal too!). For various other details of behavior please see the shared mailbox post.
Next question that some might have is: What about on-premises?
Update 4/17/2016: As it stands right now, we plan to release this feature as a part of the Exchange 2016 CU6 release.
Enjoy!
